Associate E-Procurement Administrator (Information Technology)

Our Associate E-Procurement Administrator is responsible for optimizing the user experience with-in the procure-to-pay environment.  This includes managing the UI regarding ordering, expediting, catalog maintenance and developing effective solutions to resolve issues and improve the UX.  The Associate should also possess strong AP/Accounting skills, project management, planning and communication skills and will lead process improvement initiatives, prepare internal and external reporting while working with other departments to identify and collaborate effective solutions.  A strong analytical and problem-solving ability is needed to work with data and resolve issues.

Responsibilities

You Will . . .

  • Manages weekly customer portal report regarding order status, returns, new orders, or other related inquires
  • Oversees internal Help Desk queue for Procurement inquiries
  • Develops and delivers internal training including supporting documentation
  • Manages P2P order approvals and receiving/invoice discrepancies
  • Work with supplier statements researching and troubleshooting issues to develop improved processes to speed up payment processing and avoid credit hold issues
  • Manage vendor catalog updates regarding item descriptions and price changes in both test and production environments
  • Prepare and coordinate monthly reporting to vendors regarding addresses, users, open purchase orders,
  • Manage the full onboarding of new suppliers into the program and oversee the ongoing adherence of vendors to the terms
  • Other duties and projects as assigned

Qualifications

The Experience You Will Bring (Minimum Requirements):

  • Bachelor's degree in supply chain, Business, or Operations with UI/UX experience, or equivalent work experience
  • Relevant work experience in a similar role providing equivalent knowledge
  • Hands on experience with Ariba's Procure-to-Pay system and Guided Buying platform a plus
  • Provides comprehensive and professional support to customers and management
  • Highly customer service focused with strong analytical skills
  • Excellent organizational and interpersonal skills
  • Detail oriented with strong administrative skills
  • Strong written and oral communication skills
  • Demonstrates initiative in their role by identifying opportunities to improve processes and overall efficiency
  • Ability to identify root-cause issues and resolve with long-term solutions, with an emphasis on automation
  • Enjoys supporting operations, working on a number of several issues simultaneously, within demanding time frames
  • Can easily prioritize and make the customer feel like they are number one. Working knowledge of Ariba and JDE e-procurement software as it relates to requisition, purchase order, receipts, and invoice reconciliation modules and vendor catalog maintenance
  • Thorough understanding of Accounts Payable processes and procedures
  • Working knowledge of Microsoft Office Suite (Word/Excel/PowerPoint)
  • Experience building and/or delivering internal training
