Information & Referral Assistant I (Administrative)



Required Skills & Qualifications:

Purpose of Position

The Information and Referral Assistant I position is responsible for scheduling WIC Program new applicants and return appointments, answering telephone calls for the Lundquist Institute WIC Program and South Los Angeles Health Projects.  Provides information and responds to inquiries regarding eligibility and participation in the WIC Program.   Exercises good judgment to avoid disruption of site activities or pose undue hardship to participants.

  • High school graduate, GED, or equivalent.
  • Minimum six-month WIC Program work experience or one-year customer service work experience.
  • Valid California Driver's License. Proof of personal auto insurance.
  • Current California registration for personal transportation.
  • Demonstrated interest in and ability to work with WIC's target population group.
  • Strong telephone and interpersonal communication skills
  • Excellent Customer Service Skills
  • Strong keyboard/data entry skills and knowledge of WIC WISE database
  • Skilled in using CTO telephone system, WIC WISE database, personal computer, printer and copier.
  • Sensitive to, and respect for, the cultural diversity and bias of the target population
  • Demonstrated ability to be self‑motivated and to occasionally work independently without close supervision.
  • Proficient bilingual English/Spanish written and oral communication skills.
  • Willingness to contribute to the targeted community.
  • Computer literacy and aptitude to learn WIC WISE and other computer/text messaging programs and platforms.
  • Available to work dependable, flexible shifts.

 

Description of Duties:

  • Answers Central Telephone calls for Lundquist Institute WIC Program and South Los Angeles Health Projects 
  • Provides information and responds to inquiries regarding eligibility and participation in the WIC Program
  • Makes referrals to appropriate agency programs, other community medical and social service agencies, including other WIC Programs
  • Screens applicants for WIC Program eligibility; enters applicant data into WIC WISE
  • Schedules WIC Program enrollment and return appointments.
  • Demonstrates competency in using WIC WISE and performs data entry in WIC WISE according to prescribed regulations and guidelines. 
  • Refers WIC program participants as appropriate, to Special Nutrition Services staff, Loving Support Peer Counselors, BF Helpline, site staff and other agency staff.
  • Completes required paperwork in an accurate and timely manner.
  • Sends appropriate forms and information to eligible WIC Program applicants.
  • Assists with completing required reports and other routine paperwork.
  • Directs participant problems or complaints to the Information and Referral Assistant II,
  • Supervisor, or other appropriate staff
  • Documents information in WIC WISE according to protocols and procedures
  • Promotes fully breastfeeding as the normal means of infant feeding.
  • Follows established workplace ergonomic and safety recommendations.
  • Maintains high degree of responsibility for client confidentiality and must not release any information to unauthorized persons.
  • Maintains a pleasant, courteous, tactful attitude with all contacts.
  • Attends training updates and maintains current knowledge of program requirements, policies, and standards.
  • Works with minimal supervision in exercising initiative to organize and complete daily tasks.
  • Solves minor problems by using judgment based on knowledge of the Institute's policies, practices, and procedures.
  • Promotes cooperative working relationships among WIC staff and program participants.
  • Meets established productivity and task management standards for assigned duties.
  • Follows Lundquist Institute/SLAHP attendance and punctuality guidelines.
  • Accepts assignments to other sites as needed.
  • Alternate work schedule and / or overtime is a condition of employment and may be required based on the needs of the Institute.
  • Must be willing to work flexible hours (evenings and Saturday)
  • Is responsible for performing other duties/special projects as assigned and as may be required for efficient operation of the department.
  • The employee moves within the building to collect, deliver, and copy documents. Climbing stairs and walking may be required.
  • Occasionally bends, reaches, and pushes and pulls file drawers to file records and reports. The position requires occasional driving to other work locations to attend trainings or deliver/retrieve administrative material. 

 Salary Range: $17-$21.61 per hour
