The Opportunity

  • Answers phones and takes accurate messages; handles basic inquiries on behalf of Medical Director.
  • Prepares data reports as needed for Medical Director and third-party billing service.
  • Attends and actively participates in all training, in-services, and staff meetings.
  • Performs general office duties, including monitoring inventory of and ordering office supplies as needed to replenish inventory.
  • Conducts patient call-backs as requested by physician/advanced provider to accurately communicate lab results.
  • Inspects charts from providers and staff to ensure proper documentation including ancillaries, tests, and x-rays.
  • Applies knowledge of ICD-10 (International Classification of Diseases, 10th revision) and CPT (Current Procedural Terminology) coding of procedures and enters documentation into medical record as directed by the licensed care provider.
  • Assists with referrals (e.g., obtains insurance pre-authorization).
  • Schedules patients per protocol in Athena.
  • Notifies Medical Director of issues and concerns in a timely manner.
  • Facilitates and participates in monthly billing call with third-party billing service.
  • Responds to patient inquiries, including those related to billing.
  • Collects, sorts, scans, packages, and submits required documentation from each patient encounter to designated third-party billing service for proper coding and billing of the encounter.
  • Responds to all inquiries from third-party billing service; works with appropriate provider to complete documentation addendum requests.
  • Helps ensure administrative and operational effectiveness of the clinic: understands the insurance referral process, accurately addresses insurance questions, understands the operations of the clinic as they relate to site and Vituity policies, determines workflow with the providers, acts as the Athena subject matter expert (SME) for the clinic, and standardizes the workflow for all wound care clinics in conjunction with the clinic manager and Medical Director.
  • Partners with Clinic Manager to identify and implement policy, process, and workflow improvements and changes to increase office efficiency and address areas of deficiency in patient experience concerns, production, and quality of care.
  • Articulates and presents clinic issues to the site management team, recommends solutions, and influences changes and improvements.
  • Assists Medical Director with staffing schedule
  • Reviews collection reports from third-party billing service; assists Medical Director with monitoring Accounts Receivable (A/R).
  • Follows standards and procedures to maintain a safe, secure, and healthy work environment.
  • Follows equipment operating instructions to maintain proper operation and functioning; notifies Medical Director of equipment malfunctions.
  • Provides direction to the medical reception staff (registration clerks).
  • Trains new hires in all aspects of medical office coordination.
  • Trains other staff members on Athena electronic medical record.
  • Sets a good example by projecting a positive attitude, being punctual and professional.
  • Assists with the development and competency of Medical Receptionist staff in setting professional and personal goals.
  • Proactively identifies training opportunities for the staff and communicates these to the clinic manager.
  • Provides feedback of the staff to the clinic manager for annual performance evaluations.

Required Experience and Competencies

  • High school diploma or equivalent required.
  • Two (2) years of experience as an Office Coordinator required.
  • Experience with ICD-10 and CPT coding required.
  • Billing experience is highly desired.
  • Experience as an office coordinator in a clinic setting preferred.
  • Experience in accounting or finance preferred.
  • Healthcare experience in an urgent care or primary care setting preferred.
  • Solid understanding of medical insurance plans and office procedures preferred.
  • Knowledge of clinical compliance.
  • Solid understanding of the referral and authorization process needed with this specialty based on the types of insurances we accept.
  • Well-versed in managing insurances and understanding the referral/authorization process.
  • Intermediate knowledge of Athena eHR system.
  • Skilled with Microsoft Office 365.
  • Strong organization, prioritization, and time management skills with a productivity-driven demeanor.
  • Ability to effectively communicate and collaborate with team members, including educating them on proper documentation.
  • Ability to employ effective customer service skills to resolve patient billing inquiries and complaints.
  • Ability to maintain accurate records.
  • Ability to follow facility and OSHA safety rules and procedures.
  • Ability to uphold Health Insurance Portability and Accountability Act (HIPAA) privacy regulations.
  • Ability to follow privacy policies regarding Protected Health Information (PHI) and HIPAA set forth in the Privacy Policy Manual.
  • Ability to report for assigned/confirmed shifts punctually and reliably.
  • Strong organizational skills.
  • Possess a professional demeanor.
  • Solid communication skills both verbally and in writing.
  • Ability to read, comprehend and act on simple instructions, short correspondence, and memos.
  • Flexible and adaptable to an ever-changing environment.
  • Possess strong interpersonal skills to work within a team environment.

We are excited to share the base salary range for this position is $24.99 - $31.24 per hour, exclusive of fringe benefits or potential bonuses. This position is also eligible to participate in our annual corporate Success Sharing bonus program, which is based on the company's annual performance. If you are hired at Vituity, your final base salary compensation will be determined based on factors such as skills, education, and/or experience.
