Board and Committee Support Specialist (E6001) (Administrative)



Job Summary 
The incumbent serves as an individual contributor and coordinator of tasks related to the IEEE Publications organizational unit. This is a telecommuting position.

The primary purpose of this role is to work closely with the existing team (the Director of Board Governance & Policy Development, and the Governance Specialist) to ensure that the IEEE Publication Services & Products Board (PSPB, the governing body for the publications business in IEEE) and its standing committees and ad hoc committees are effective, strategic and efficient. The Publication Services & Products Board (PSPB) is comprised of nearly 30 senior-level IEEE members who serve voluntarily, without compensation and are elected by different member constituent groups within the IEEE.

In addition to administrative duties such as scheduling meetings, helping to process nominations and election results, developing agendas, and writing up meeting minutes, the incumbent is expected to contribute to PSPB's committee and board discussions as a valued participant.

Key Responsibilities
 

  • Assists Director and other Governance Specialist with organizing and running Publications board and committee meetings; creation of all associated documents and project management of preparation (Staff and Volunteer), action items, and follow-ups.
  • Ensures excellence in communications to board members, as well as staff and volunteers.
  • Visibly leads and commits to legal and regulatory compliance and embodies the highest caliber of ethical behavior.
  • Manages committee meeting logistics: ensures that the meetings flow smoothly and efficiently.
  • Backs up team members in maintenance of Board's Web pages
  • Attends meeting of the IMSAT (IEEE Meeting Series Advisory Team). Works with this team to provide recommendations and direction for improvement in activities at IEEE governance meetings.
  • Provides high level support for the Director, Board Governance & Policy Development. Responsibilities may include:- Employee engagement or other team-wide staff activities

  • 2-4 years Editorial experience in a professional or scholarly publishing organization Pref, and/or...
  • 2-4 years Committee support experience in a professional or trade association Pref

Skills and Requirements 
 

  • Should be familiar with rules and practices for not-for-profit organization governance
  • Demonstrated skills in helping to organize and run meetings
  • Experience with executive office / society administration practices. This includes setting project priorities in coordination with overall department priorities; demonstrated skill at coordinating multiple projects simultaneously; establishing appropriate protocol for dealing with IEEE volunteers, staff, vendors and customers; observing necessary discretion with confidential material.
  • Must have excellent communication and influencing skills to be able to communicate effectively with membership and staff of an international organization
  • Savvy diplomatic skills and a natural affinity for cultivating relationships and persuading, convening, facilitating, and building consensus among diverse individuals
  • Demonstrated judgment skills to set priorities without supervision
  • Must be able to travel internationally/domestically 3 to 5 times per year
  • Must be a technologically savvy knowledge worker who seeks out technology solutions to business challenges. Specific technology knowledge and experience needed to produce the desired outcomes include the following: Microsoft Word, PowerPoint, Excel, email and scheduling. Ability to use Internet as research tool. Ability to learn new tools such as the newly created Agenda Tool for PSPB agendas and attachments and Web Conferencing tools.
  • Proficiency in business writing, e.g., agendas, minutes, action plans.
  • Must have excellent interpersonal skills; Incumbent should possess a combination of education and experience that has prepared him or her to work with senior staff and volunteer management in a fast paced, dynamic work environment that requires excellence in execution and strict attention to detail. This is very important because he/she will liaise with IEEE Senior volunteers and management on a regular basis in coordination of activities of the various Publications oversight groups and communications with key IEEE functions.
  • Must be a strong team player and be able to engage team members in achieving shared goals. Issues must be addressed in a clear and unambiguous manner, while exercising tact, and maintaining confidentiality where necessary. Discretion, respect for confidentiality and tact in all things is expected and required of this individual.
  • Must be able to proactively identify problems, assess their impact and take appropriate action. Problem solving ranges from routine to complex. Must have the ability to identify opportunities and areas of improvement and propose and implement means and ways for their achievement.

Other Requirements:
As defined in IEEE Policies, individuals currently serving on an IEEE board or committee are not eligible to apply.
