Job Description:

The Executive Care Manager for Strategic Events will be responsible for managing the experience and logistics for top executives attending HPE's strategic events. This role requires a highly organized and detail-oriented professional with exceptional interpersonal skills, extensive experience in executive support, and the ability to work collaboratively across various teams to ensure a seamless and exceptional experience for executive attendees. Additionally, this individual manages guest mainstage speakers and overall production, schedules, logistics and content.

Key Responsibilities:

1. Executive Experience Management:

a. Develop and implement comprehensive plan to manage the experience of top executives at strategic events.

b. Serve as the primary point of contact for executives attending events, ensuring their needs and preferences are met with the highest level of service.

c. Coordinate personalized itineraries, including travel arrangements, accommodation, and event schedules.

2. Logistics and Coordination: Oversee all logistical aspects related to executive participation in events, including transportation, lodging, and on-site support.

a. Ensure all executive logistics are meticulously organized and executed, addressing any issues promptly.

b. Work closely with event planning teams to align executive care with overall event objectives and logistics.

3. Communication and Relationship Management:

a. Build and maintain strong relationships with executives, understanding their preferences and requirements.

b. Communicate effectively with executives before, during, and after events to provide information and support.

c. Liaise with executive assistants and other stakeholders to ensure seamless coordination.

4. Guest Mainstage Speaker and Speaker Support

a. Manage speaker agendas, hotel, transfers, registration and special requests

b. Schedule speaker prep call with content leads

c. Assign onsite handler/host for speaker and brief handler on agenda

d. Schedule onsite rehearsals, speaker F&B, and speaker hair and makeup

e. Manage final invoicing

5. On-Site Support:

a. Provide on-site support during events, ensuring all executive needs are met and any issues are resolved promptly.

b. Facilitate executive participation in event activities, including meetings, presentations, and networking sessions.

c. Ensure a high level of hospitality and service for executives throughout the event.

6. Feedback and Continuous Improvement:

a. Collect and analyze feedback from executives to assess the effectiveness of executive care and identify areas for improvement.

b. Use insights from feedback to refine executive care strategies and enhance future events.

c. Prepare post-event reports, including executive feedback and recommendations for future events.

7. Cross-Functional Collaboration:

a. Collaborate with internal teams, including marketing, sales, product management, and IT, to ensure alignment and support for executive care initiatives.

b. Coordinate with external vendors and partners to ensure high-quality service delivery for executive logistics and support.

8. Budget and Resource Management:

a. Develop and manage budgets for executive care, ensuring all expenses are tracked and within the allocated budget.

b. Optimize resource allocation and manage executive care inventories to ensure cost-effective operations.

Qualifications:

• Minimum of 5 years of experience in executive support, event management, or hospitality, preferably in a corporate setting. -

• Proven track record of successfully managing the experience and logistics for top executives.

• Strong project management and organizational skills, with the ability to manage multiple tasks simultaneously.

• Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams and stakeholders.

• Proficiency in event management software and tools (e.g., Cvent, Eventbrite).

• Strong problem-solving skills and the ability to remain calm under pressure.

• Flexibility to travel and work irregular hours as needed for events.

The expected salary/wage range for a U.S. -based hire filling this position is provided below. Actual offer may vary from this range based upon geographic location, work experience, education/training, and/or skill level. If this is a sales role, then the listed salary range reflects combined base salary and target-level sales compensation pay. If this is a non-sales role, then the listed salary range reflects base salary only. Variable incentives may also be offered. USD Annual Salary: $115,500.00 - $266,000.00
