Financial/Administrative Support Analyst (Finance)



Saalex Corporation is seeking a Financial/Administrative Support Analyst to support government contracting operations. This role combines administrative coordination, human resources support, and accounting functions include bookkeeping, invoices, and maintaining journal entries. Must have a solid understanding of federal contracting requirements, strong organizational skills, and the ability to manage multiple responsibilities with confidentiality and precision.

Position Type: Full-Time

Salary: $55k-$70k annually (depending on experience)

Work Location: This is a hybrid position. May require periodic travel to DoD West Coast customer sites, conferences, and industry events. Hybrid or remote work arrangements may be available depending on contract and clearance requirements.

Essential functions:

Administrative Support

  • Provide general administrative support to program management and corporate leadership.
  • Maintain organized digital and physical filing systems for contracts, personnel, and financial documents.
  • Assist in the preparation of reports, meeting agendas, and correspondence.
  • Track and maintain compliance documentation for audits and contract requirements.

Human Resources Support

  • Assist with onboarding, orientation, and offboarding of employees.
  • Maintain confidential employee records in accordance with DCAA and EEOC compliance requirements.
  • Support benefits administration, timekeeping, and leave tracking.
  • Ensure compliance with internal policies and government regulations (FAR, DFAR, E-Verify, labor laws, etc).

Bookkeeping & Financial Responsibilities

  • Process accounts payable and receivable, generate and track customer invoices, and monitor collections.
  • Process invoices for submission to DFAS, DCAS, or Prime contractor in accordance with contractual requirements.
  • Enter and reconcile journal entries and general ledger accounts in accordance with GAAP and DCAA-compliant accounting standards.
  • Support monthly, quarterly, and year-end close activities.
  • Assist with preparation for audits (e.g., internal, DCAA, financial).
  • Monitor indirect rate structures and cost allocations as required.

Requirements

Required:

  • Associate's or Bachelor's degree in accounting, business administration, or related field.
  • Minimum of 3 years of experience in administrative or accounting support role, preferably in the government contracting environment.
  • Strong understanding of federal contract accounting, including timekeeping, cost tracking, and invoice management.
  • Proficiency in accounting software (e.g., QuickBooks, Unanet, Deltek) and Microsoft Office Suite, especially Excel.
  • Familiarity with DCAA compliance, FAR/DFARS, and contractor HR practices, specifically for the state of CA.
  • Excellent communication, time management, and attention to detail.
  • Able to work in a fast-paced and deadline-driven, particularly during capture and proposal development cycles.

Desired:

  • Experience working with Time & Materials (T&M), Cost-Plus, or Firm-Fixed Price (FFP) contracts.
  • Knowledge of Unanet or Deltek Costpoint a plus.
  • Exposure to ISO 9001 or CMMI administrative support preferred.

Work Environment:

  • Standard office setting, with hybrid or remote flexibility depending on program needs.
  • Occasional lifting of boxes/files up to 25 lbs.
  • Must be a U.S. Citizen and able to pass a background check; security clearance may be required depending on contract.

Security Clearance:

Must be eligible to obtain a Secret clearance. Requirements to obtain a clearance include US Citizenship, security investigation, etc.
