Legal Receptionist and Concierge (Legal)

Job Description:

The Receptionist provides Receptionist, Concierge and Hospitality services for clients at their site. Work closely with the client office manager and client's staff to assist with front office. Provides elevated concierge style customer service and is responsible for taking care of all visitors, client meetings and events at a client location. Will accurately communicate with client staff, Hospitality and AV team members regarding commitments, deadlines and challenges.  

Essential Job Responsibilities

  • Work with other team members, especially with Hospitality and IT team members

  • Work independently on front desk assignments and events coordination tasks without direct supervision

  • Ensure all tasks, conference room reservations and events have been properly completed and quality checked

  • Work to resolve work issues or complaints

  • Assist management, client office manager and Hospitality team with food/beverage orders

  • Manage conference center bookings and ensure food/beverage amenities and AV requirements are fulfilled

  • Work closely with the client's staff to assist with front office

  • Answer incoming telephone calls and forward to the appropriate person

  • Take accurate and complete messages for those who are unavailable

  • Promptly greet and announce visitors in a friendly and business-like manner

  • Maintain a neat and organized reception desk and front lobby area

  • Order and stock supplies as needed

  • Perform other administrative duties as requested

  • Other duties may include reception desk, events coordination and hospitality services, administrative tasks

Qualifications & Requirements

  • High School Diploma, College Degree preferred

  • Minimum of 2 years work experience, preferably in conference services, hospitality, reception desk and front office services

  • Previous experience in a legal client service field preferred

  • Ability to multitask with attention to detail

  • Ability to handle complaints with professionalism, patience, and diplomacy

  • Strong written and verbal communication skills with ability to resolve complaints

  • Working knowledge of MS Word, Excel and Outlook

  • Ability to lift or move 40 lbs. or greater

  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs

  • Ability to walk, bend, kneel, stand or sit for an extended period of time

The Compensation range for this role is 24.80 to 29.76 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
